Once you've created your invoice, the next step is to save or print it for your records or to send to your client. Our Free Invoice Generator offers several convenient ways to do this. This guide will walk you through the different options available.
Downloading as a PDF
The most common and professional way to save and send an invoice is by downloading it as a PDF. PDFs maintain their formatting across all devices and are not easily editable, ensuring the integrity of your document.
- After filling out your invoice details, click the "Download PDF" button.
- Your browser will prompt you to save the file. Choose a location on your computer and save it.
- You can now attach this PDF to an email, upload it to a client portal, or print it.

Printing Your Invoice Directly
If you need a physical copy of your invoice, you can print it directly from your browser. The invoice is designed to be print-friendly, so it will look clean and professional on paper.
- Complete your invoice in the generator.
- Use your browser's print function. This is typically found in the browser menu (File > Print) or by using a keyboard shortcut (Ctrl+P on Windows, Cmd+P on Mac).
- In the print preview window, ensure the layout looks correct. You can adjust settings like paper size and margins if needed.
- Select your printer and click "Print."
Using "Print to PDF" as an Alternative
Most modern browsers include a "Save as PDF" or "Print to PDF" option in their print dialog. This can be a useful alternative to the "Download PDF" button, especially if you are experiencing download issues.
- Open the print dialog as described above.
- In the destination or printer selection dropdown, choose "Save as PDF."
- Click "Save" and choose where to store the PDF on your computer.
This method creates a high-quality PDF that is identical to what you would get from a printer, making it a reliable way to save your invoice digitally.
Saving Your Invoice Data
While our tool does not currently store your invoice data on our servers for privacy reasons, you can save the information for future use by keeping the downloaded PDF. Additionally, you can use our downloadable templates for Word, Excel, or Google Docs to manage your invoices offline.
